This notice explains what information MarsStay collects during its private pre-launch service, why it is used, who it may be shared with and the choices available to you.
1. Who is responsible for the information
The data controller is the legal operator of MarsStay. The final legal name and contact address will be inserted before public launch. Until then, privacy questions and requests should be sent to info@marsstay.com.
2. Information MarsStay may collect
- name, work email, telephone number and company details;
- project locations, dates, team sizes, vehicle details and accommodation requirements;
- supplier business contacts, property facts, rates, availability methods, terms, uploaded photographs and supporting documents;
- booking, payment, invoice, cancellation and extension information when those services are introduced;
- account identity supplied by the sign-in platform for private workspaces;
- security and technical records such as timestamps, request references and limited connection fingerprints used for abuse prevention.
3. Why the information is used
- to respond to enquiries and create structured accommodation or property briefs;
- to review supplier submissions, verify property facts, source suitable options and manage approved accommodation activity;
- to communicate with customers, suppliers and authorised project contacts;
- to secure the service, prevent misuse and investigate failures;
- to keep business, financial and legal records where required;
- to improve MarsStay using aggregated or appropriately minimised information.
4. Lawful bases
Depending on the activity, MarsStay expects to rely on steps taken at your request before entering a contract, performance of a contract, legitimate interests in operating and securing a business service, compliance with legal obligations, or consent where a genuine choice is appropriate. The final assessment will be completed before public launch and reviewed when the service changes.
5. Who information may be shared with
Information may be shared only where relevant with accommodation providers, business customers and authorised project contacts; website, storage, email, security, payment or professional service providers; and regulators, courts or law-enforcement bodies where disclosure is required. MarsStay does not sell personal information.
6. Retention
General accommodation enquiries are designed to be removed from the active enquiry store after 12 months. Empty partner drafts may be removed after 90 days. Submitted partner, booking, payment and invoice records will be kept only for as long as needed for the relationship, legal obligations, disputes and legitimate business records. A formal retention schedule will be approved before public launch.
Supplier photographs and supporting documents are kept in private storage and retained only while needed for onboarding, verification, matching, an active supplier relationship, legal obligations or a dispute. Access is limited to authorised MarsStay operations and secure submission links.
7. International processing
Some technology providers may process information outside the United Kingdom. Where that occurs, MarsStay will check the transfer mechanism and contractual safeguards required for the provider and information involved.
8. Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to use of your information, receive portable information, and withdraw consent where consent is relied upon. You may also complain to the UK Information Commissioner’s Office. Start by emailing info@marsstay.com.
9. Automated tools
MarsStay uses automated tools to structure requests, extract listing facts and prepare comparisons. Important property approval, recommendation and booking decisions remain subject to human control. MarsStay does not use the current assistant to make solely automated legal or similarly significant decisions about individuals.
10. Updates
This notice will change as the pre-launch service develops. The date at the top identifies the latest version.
